People who are new to meeting planning will often make the mistake of setting the meeting room up like a classroom. They assume that the key personnel will want to give the meeting participants important information to consider about a project. The difference between a business meeting structure and a classroom set-up is that everybody at the business meeting is equally important to the discussion.

Instead of setting up the chairs in a lecture format, think about this business group as all being equal in status. Try to place all participants sitting around the same conference table if possible or at satellite table set-ups to accommodate a larger-size crowd that will be working in groups. The satellite tables should also be set-up in a conference manner so that each participant has eye contact with all other people at their table.

When all meeting participants are seated in positions that make them feel that their presence at the meeting is important, this will help to keep the gathering feeling energized and productive. Remember how it feels to be in a classroom with a boring lecture going on up front. Eye-contact in groups helps to keep everybody on their toes and out of trouble with the teacher.
