For some of us, the email system is our favored mode of communications while we are working with an overbooked schedule. We calmly unplug our telephones, and toss our cell’s back into that business backpack were they belong. With email, communications alerts float across our computer screens as messages come in, and we stay completely up-to-date on the day’s happenings while working on more important business matters.

Later, when we go to respond to all of the messages that have accumulated in our online mailboxes, we can rapid-fire answers down the list in record time without anybody being the wiser to our rushed situation. “Hi Mary, how is it going over at Telex today? Yes, we are still on-track with your booking plans for your March ski weekend. How is little Pete doing these days? I hope that you have a great Wednesday afternoon!”

The friendly note above relays a message to Mary, but it is also a future note for the sender. When the next email arrives from Mary, the sender knows instantly that Mary works for Telex, a March ski trip is planned, Mary has a dog named Pete, and the last business communication took place on Wednesday afternoon.

This method of using email responses as a personal filing system can save lots of time every year when informational notes or files do not need to be found before an answer to an emailed business communication can be made.
